This Privacy Policy explains information handling for the MoveOS website, operations workspace and MoveOS-hosted moving-request forms. A moving company using MoveOS decides what customer and employee information to enter and how to use it for its services. Its own privacy notice also applies to that relationship.
1. Information collected
- Account information: account identifiers, names, roles, authentication information and sign-in activity.
- Business records: customer contact details, pickup and delivery addresses, move dates, inventory, estimates, bookings, job documents, notes and other information entered by authorized users. Employee, timekeeping, payroll or payment-ledger information is included when those features are used.
- Forms and communications: details entered in quote or inventory forms, support messages, feedback and chat questions.
- Technical information: session identifiers, browser preferences, request and security information, such as IP addresses and access logs. Features may retain abuse-prevention counters and audit events.
2. How information is used
Information is used to provide the website and workspace, authenticate users, maintain business records, process moving requests, calculate estimates and routes, display schedules and reports, respond to support or privacy requests, and maintain security and service reliability. A moving company uses submitted quote information to assess and respond to the requested move.
3. Access and sharing
Authorized workspace users can access records according to their assigned permissions. Administrators manage access. Hosting and connected service providers process information needed for the features they supply. Information may also need to be disclosed to meet legal obligations or respond to security incidents.
Submitting a moving request shares the form details with the moving company identified on that form. MoveOS does not make those customer records publicly visible through the operations workspace. A website embedding a MoveOS form may independently collect information under its own privacy notice.
4. Google Maps and address suggestions
When you type into an address field with Google suggestions, address-search text is sent to Google to return matching places. Selecting a suggestion retrieves the formatted address. Calculating a route sends pickup, delivery and any selected extra-stop or office addresses to Google. Google also receives technical request information. These features do not need your device's precise location permission.
See Google's Privacy Policy and Google Maps terms.
5. OpenAI help chat
The operations help assistant sends the messages you type, recent conversation context and a software-help guide to OpenAI to generate a response. It does not automatically export customer or job records and has no tools to change records. Avoid entering sensitive customer information, credentials or payment details.
Operations help conversations are held in browser memory and clear when the page reloads or you sign out. The server keeps usage-limit counters rather than a conversation history. Requests use OpenAI's store=false setting; this does not mean that all provider retention is disabled. OpenAI's own data-handling rules and applicable account controls still apply. Website chat and submitted feedback can have separate records needed to operate those features.
Read OpenAI API data controls for provider details.
6. Cookies and browser storage
The operations workspace uses a session cookie for sign-in. Browser storage can retain interface preferences and limited page state. The public website may use its own login, form or chat-session cookies. Connected services and embedded content can have their own cookies or request data. Browser settings can restrict cookies or clear storage, although doing so may sign you out or affect features.
7. Storage, retention and security
Workspace records are stored on the service's server and may be included in backups. Business records persist until removed through an authorized process; reloading a page or signing out does not delete them. Retention depends on account operation, business needs, backups and applicable obligations. Contact the administrator or MoveOS to request information about retention or deletion. Removing an active record may not immediately remove a backup copy.
The operations service uses HTTPS, authenticated sessions and role-based access controls. Private provider credentials are kept on the server, except for browser Maps keys restricted to their permitted website and APIs. No security measure guarantees that information is always free from risk. Only upload information needed for the service.
8. Your choices and requests
You can choose what optional information to submit and whether to use third-party features. Contact the moving company about its customer records and your workplace administrator about staff account information. Use Contact MoveOS for platform privacy questions or requests to access, correct, export or delete information. We may need to verify your identity and authority before acting; available rights and exceptions depend on applicable law and the record involved. Do not include passwords or full payment details in a request.
9. Audience and policy changes
MoveOS is business software intended for authorized adult users, not a service directed to children. Contact MoveOS if you believe a child has submitted personal information. This policy may be updated as features or practices change; the effective date identifies the current version. See also the MoveOS User Agreement.
Customer portals and transactional email
Website quote submissions can notify the moving company by email. Staff can email a published estimate link to the customer. MoveOS uses the company connected Postmark service for these messages and transmits the recipient, company identity, estimate or lead summary and appropriate link. Email open and link tracking are disabled in this integration. Provider acceptance is distinct from inbox delivery.
Anyone holding an active private estimate link can view that published estimate and submit supported customer actions. Keep the link private. Links expire and staff can revoke them. The portal exposes customer-facing quote details rather than internal job or staff notes. Contact edits, date requests, decline reasons and signature acknowledgements are stored with activity records. A signature record includes the drawn image, signer name, consent text, published-estimate fingerprint, timestamp and a hashed network identifier. Published snapshots and associated records can remain in company records and backups. Contact the moving company to request access or correction.
Customer estimate pages load Google Maps routing only when the visitor requests the map. Estimate-email preferences can be changed from the portal; essential booking communications may still require direct contact with the moving company.
